How to Request Your Official Transcript

How to View Unofficial Transcripts

Students who attended in the last three years can view and print unofficial transcripts via myNOVA by following these steps.

  1. Log into myNOVA.
  2. Click SIS – My Student Information.
  3. Select Academic Records.
  4. Choose View Unofficial Transcript and follow the instructions.

Parchment

NOVA has partnered with Parchment, a secure and reliable electronic transcript system, to make ordering official transcripts easy and convenient.

Parchment Provides:

  • Efficient online ordering for transcripts.
  • Maximum data integrity to prevent fraud.
  • Tracking from order to receipt.
  • Transcripts are available in electronic and paper format.
  • Payment options with major credit or debit cards (Visa, MasterCard, Discover, or American Express).
  • Email confirmations for order placement, transcript sent, and eTranscript downloaded by the recipient.

Transcript Process Time and Fees

  • $10.00 for each electronically sent transcript (typically processed within 24 hours).
  • $15.00 for each paper transcript sent via U.S. Postal Service (delivery takes 5 - 10 business days). Please allow additional time for shipping during busy periods (e.g., end of term).

Please note that expedited delivery service is not available.

If you have questions or concerns about creating an account, the ordering process, order status, resetting your account or other issues, please log into Parchment and visit the Parchment Help Center, where you can:

  • Submit a support ticket. Parchment's Support Team is available M-F, 8 a.m. to 8 p.m. ET.

Before requesting your transcript, please ensure that all your grades are posted, as transcript requests cannot be held for the posting of grades, certificates, or degree awards. If any grades or degrees are missing, you will need to request and pay for another official transcript.

Transcript Costs:

  • Electronic copy: $10 each
  • Paper hard copy: $15 each
  • Payment must be made by credit or debit card.

Turnaround Time:

  • If you use your correct Student ID, electronic transcripts are typically processed within 24 hours or less. Delays may occur if there is a hold on your record, in which case you will be notified by email.

Monetary Holds:

  • If you have any monetary holds on your record, the system will not allow the transcript request to process. No transcript will be issued until the holds are resolved. You can check your unofficial transcript and holds online through the Student Center in myNOVA.

Conversion Holds:

  • Archived student records from the quarter credit system (prior to 5-1-88) will need to be restored to current status, resulting in a processing delay due to a conversion hold being placed on the record.

Multiple ID Numbers:

  • Student records with multiple ID numbers will need to have their ID numbers merged to include all completed coursework at NOVA on one official transcript. A hold will be placed until the records are merged, leading to a processing delay.

Additional Notes:

  • You can attach all required documents (e.g., for law or medical school admission services) using the attachment feature.
  • All paper copy transcripts issued are official and sealed. Do not open your transcript if you plan to send it to a college or organization, as an opened transcript may be considered unofficial by most institutions.
  • CEU/Non-Credit transcripts should be requested through your campus Workforce Development Office.

1. Can my destination be changed after submitting my order?

  • No, you cannot change the destination once an order is placed. If you enter the destination incorrectly, you can request the order to be canceled by submitting a Parchment support ticket. Parchment will send a confirmation email within 24 hours.

2. If my order has been processed and I later submit a support ticket to cancel, will I receive a refund?

  • No refund will be issued after an order is processed.

3. Can my order be on hold until my grades post?

  • Transcript orders cannot be placed on hold.

5. Why hasn't the receiving school received my official transcript?

  • After the College Records Office (CRO) processes the transcript, it may take colleges and universities up to 30 days to download the order. Please be patient and allow ample processing time before reaching out to Parchment support regarding the status of your transcript delivery.

6. How can I track my order?

  • To track your order, you can either use your order's DID#, or you can log into Parchment.com and click "Track" under the name of your school.

7. When will grades be posted to my transcript?

  • Grades are typically posted to transcripts within 48 hours of the grade due date listed in the academic calendar. Verify your record in myNOVA before ordering a transcript.

8. What should I know before requesting an official transcript to be sent to George Mason University (GMU)?

  • Don't request a NOVA transcript before applying to GMU.
  • GMU does not accept NOVA paper or emailed transcripts.
  • Allow 2 business days for GMU to receive and load your transcript to their Student Information System. A “hold” status is a normal step in the GMU transcript process and does not indicate a financial hold on your record. The hold will clear when the order is processed.
  • Do not send transcripts to any office other than the Office of Admissions, unless instructed by GMU.

9. What is a conversion hold that is preventing me from obtaining an official transcript?

  • A conversion hold is placed on inactive legacy student records from the quarter credit system. The records need to be restored before the order can be processed (expect processing delay).

10. What can I do if the school says they haven't received my official transcript? 

  • Track Your Parchment Order: Log into Parchment.com and click "Track" under the name of your school to monitor the progress of your order.

  • Use the DID# for Tracking: Track your order using the DID# (Document ID) provided. Enter the DID# of your order and click "Verify."

  • Contact College Records Office: If you still have concerns or need further assistance, you can send an inquiry to askthecro@nvcc.edu, and the College Records Office will be happy to assist you.

11. What is the Student Information System (SIS)?

  • SIS is your online Student Center, allowing you to review your profile, register for classes, apply for graduation, view academic history, and access financial information.

12. What is the Academic calendar?

  • NOVA's Academic Calendar contains key dates important to students, such as class start/end dates, holidays, exam days, and registration dates.

13. What is an Official Transcript?

  • An official transcript is issued by the College and contains the student master record, including courses taken, transfer credits, honors, degrees/certificates, grades, and cumulative GPA.

14. How can I correct a duplicate ID service indicator on my record preventing me from obtaining an official transcript?

  • Contact askthecro@nvcc.edu if Parchment doesn't allow you to enter the request. Records with multiple IDs will need to be merged for all coursework to be included on one official transcript. A hold will be placed until the records are merged; expect a processing delay.

If you are applying to George Mason University, please follow these guidelines for submitting your official NOVA transcripts through the Parchment system to the Office of Admissions:

  1. Apply First, Then Submit Transcripts: Do not request a NOVA transcript before applying for admission to GMU.

  2. Use Parchment for Transcripts: GMU does not accept NOVA paper transcripts or emailed transcripts. Utilize the Parchment system to submit your official transcripts.

  3. Processing Time: Please allow up to 3 business days for GMU to receive and process your transcript for your application. During this process, you may see a "hold" status, which is a regular step and does not indicate a financial hold on your record.

  4. GMU's Office of Admissions receives all Parchment transcripts. Your NOVA transcript will be accessible to all academic advisors at GMU.

  5. Send Transcripts Only to Office of Admissions: Please do not send transcripts to any other office at GMU; send them directly to the Office of Admissions for processing.

How to Send an Official Transcript to the Virginia Department of Education (VDOE) for Licensure

To send your official transcript to the VDOE for licensure purposes, follow these steps:

  1. Order Electronic Official Transcript: You can order an electronic official transcript via Parchment at a cost of $10.00.

  2. If you have any questions or need assistance, please contact the appropriate resources below, before placing your transcript order:

    • Licensure Inquiries: For licensure-related inquiries, reach out to licensure@doe.virginia.gov or call 804.786.2302. If you have an existing file with their office, include your full name and application number/license number, or date of birth and the last four digits of your social security number when emailing their office.
    • Technical Support: For technical issues related to the online application process, contact rr-licensureapplicationsupport@doe.virginia.gov.
    • Teacher Education Programs: Reach out to teacher.education@doe.virginia.gov for inquiries related to teacher education programs.
    • Professional Practices: If you have questions regarding professional practices or adverse licensure actions, email professional.practices@doe.virginia.gov.
  3. Include Attached Documents: If you need to include any additional documents along with your transcript order, make sure to attach them at the same time you place the order.

  4. The email address transcripts@doe.virginia.gov can be shared with an institution of higher education or third-party vendor that processes and sends official transcripts.

The Nursing Program at NOVA is approved by the Virginia State Board of Nursing. Graduates may apply to take the NCLEX for Virginia state licensure from VBON after successfully completing the Nursing Program. 

Apply for Registered Nurse Virginia State Licensure

Graduates must request that their official NOVA transcript be sent to VBON as part of the application process. VBON accepts transcripts by both e-Transcript PDF Method and Mail Method.

Parchment – eTranscript PDF Method

  1. Create a Parchment Account.
  2. Follow the step-by-step instructions on their How it Works page to order an electronic PDF transcript.
  3. Electronic transcripts should be emailed to transcriptbyexam@dhp.virginia.gov.

Parchment - Mail Method

  1. Create a Parchment Account.
  2. Follow the step-by-step instructions on their How it Works page to order a paper transcript.
  3. You can select to have a paper transcript sent to your home address. It will be delivered in a sealed envelope. Important: Do not open the transcript envelope. Transcripts opened by the student are considered unofficial. Forward the transcript to the Virginia Board of Nursing.
  4. You can also select to have a paper transcript sent directly to the Virginia Board of Nursing. Paper transcripts should be mailed to: Virginia State Board of Nursing, 9960 Mayland Drive, Suite 300, Perimeter Center, Henrico, Virginia 23233.

Radiography graduates may apply for Virginia state licensure as a radiologic technologist from the Virginia Board of Medicine after successfully passing the RT registry exam from the American Registry of Radiologic Technologists (ARRT).

Graduates must request that their official NOVA transcript be sent to the Virginia Board of Medicine as part of the application process. The Virginia Board of Medicine for Radiologic Technologists prefers transcripts by e-Transcript PDF Method only.

  3. Electronic transcripts should be emailed to RadTechMedbd@dhp.virginia.gov.
