PARCHMENT

NOVA has partnered with Parchment, a secure, reliable, electronic transcript system, to manage the ordering, and processing of official transcripts.

Parchment Provides

  • The most efficient and convenient methods of ordering transcripts online.
  • Provide maximum data integrity to eliminate opportunities for fraudulent ordering.
  • Tracking throughout the process from order to receipt.
  • Transcripts in electronic and paper format.
  • Ordering payment by major credit or debit card (Visa, MasterCard, Discover, or American Express) to complete the transaction.
  • Generated email confirmations when the:
    • order is placed
    • transcript has been sent out
    • eTranscript has been downloaded by the recipient

Transcript Process Time and Fees

  • $10.00 for each transcript sent electronically, generally processing time within 24 hours.
  • $15.00 for each paper transcript sent via U.S. Postal Service, generally paper mailing takes 5 -10 business days for delivery. Allow additional time for shipping and during busy periods (i.e.: end of term).
  • Expedited delivery service is not available.

How to Request Your Official Transcript

Before you place your order

  • All financial obligation to the College must be satisfied.
  • All users must create a Parchment account the first time when ordering your academic records in the new ordering system. Transcript issued will contain the student’s complete NOVA record.
  • You must add the school you attended to your account.

CEU/Non- Credit

If you are a Continuing Education student (non-credit) courses, please contact Workforce Development.

Unofficial Transcripts

Students who have attended in the last three years may view and print unofficial transcripts via myNOVA.

  • Log into myNOVA
  • Click SIS – My student Information
  • Select Academic Records
  • Select View unofficial transcript and follow the instruction to view/print your record.

Get Started

For alumni and former students

Go to Parchment.com and create an account. If you already have a Parchment account, simply log in and go to the next steps. Transcripts requested without a Student ID, or with an incorrect Student ID may be delayed for up to one week. Please check all information entered for accuracy. Don't guess—verify!

For current students who are enrolled at NOVA

If you are a current NOVA student, you may click on the Parchment tile once you sign into your myNOVA account.

  1. Log in with your new account and click "Start by adding a school or organization you attended."
  2. Select your destination. You may also search for a destination or enter a mailing or email address manually.
  3. Enter Northern Virginia Community College in the search box.
  4. Follow the prompts to complete your official transcript request.

Third Party ordering (TPO) is now available.

What is a TPO account? Third Party Ordering is for individuals requesting records on behalf of others but must have a consent form signed by the student. TPO accounts should not be used to order your own credentials.

  • Find School – Search for a sending organization and you will be prompted to create a Third-Party account.
  • Upload Consent – You ‘ll need to upload a consent form.
  • Receive Credential – Once you place your order and your request is fulfilled, the official document will be emailed to you.

Students may contact Parchment Customer Support with questions or concerns about creating an account, ordering process, order status, resetting account, or user issues. Submit a support ticket at Contact us and fill in the form.

  • First step is to log into your Parchment account, then visit the Parchment Help Center, where you can find answers to frequently asked questions and articles to support your needs.
  • You can also engage with ParchieBot, Parchment intelligent chat function designed to answer your questions and provide order information.
  • From the Parchment Help Center, you can submit a web case at Contact us the support Team is available M-F, 8am - 8pm ET.

To track your order, you can:

  • To track your order using the DID#, click here. Enter the DID# of your order and click Verify.
  • Log into Parchment.com and click Track under the name of your school.

  • Before requesting your transcript, check your records to make sure all grades are posted. Transcript requests cannot be held for the posting of grades, certificates, or degree awards. If a grade or degree has not been posted before you request your transcript, you will need to request and pay for another official transcript.
  • Transcripts cost $10 for each electronic copy and $15 for each paper hard copy and must be purchased by credit or debit card.
  • If you order a transcript using your correct Student ID, turnaround time is 24 hours or less for electronic transcripts. Delays may occur if there is a hold on your record, for which you will be notified by email.
  • If you have any monetary holds on your record the system will not allow the request to process.
  • If you have any monetary holds on your record, no transcript will be issued. Check your unofficial transcript and holds online through the Student Center in myNOVA.
  • Conversion Holds - Archived students (no recent enrollment) records from the quarter credit system (prior-5-1-88) will need to be restored to current status. A conversion hold will be placed on the record until it is restored; expect a processing delay.
  • Multiple ID numbers - Student records with multiple ID numbers will need to have their ID numbers merged so that all course work completed at NOVA will be included one official transcript. A hold will be placed until the records are merged; expect a processing delay.
  • You can attach all required documents (ex. for law or medical school admission services), using the attachment feature.
  • All paper copy transcripts issued are official and in a sealed envelope. Do not open your transcript if you plan to send the transcript to a college or organization. An opened transcript is considered unofficial by most colleges and organizations.
  • CEU/Non-Credit transcripts should be requested through your campus Workforce Development Office.
  • If you have questions about transcript content or graduation, email the College Records Office at AsktheCRO@nvcc.edu.

Can my destination be changed after submitting my order?
You cannot change the destination after you place an order. If you enter the destination incorrectly, you can request the order to be cancel by submitting a Parchment support ticket. Parchment will send a confirmation email with 24hour.

If my order has been processed and I later submit a support ticket to cancel, will I receive a refund?
No refund will be issue after an order is processed.

Can my order be on hold until my grades post?
Transcript orders cannot be placed on hold.

Why is my signature required?
To protect your right to privacy and the confidentiality of your transcript, your signature is required by federal law to authorize the release of your transcript. Family Educational Rights and Privacy Act (FERPA).

The receiving school has not received the official transcript ordered.
It is not uncommon for students to be told that their transcript has not arrived at the destination even though the College Records Office (CRO) has processed the transcript. Schools can routinely take up to 30 days to download the order. Please allow colleges and universities ample processing time before contacting Parchment support.

  • Tracking is available to view when the recipient receives and downloads the order. Click here to track your order using the DID#. Students or third-party can also check their order status by signing in to your account and clicking on Orders.

Applicants to George Mason University must use the Parchment system to submit official NOVA transcripts to the Office of Admissions.

  • Do not send a NOVA transcript before applying for admission to MASON.
  • MASON does not accept NOVA paper transcripts or emailed transcripts.
  • Transcripts are not processed by both institutions in real-time. Allow 3 business days for Mason to receive and add your transcript to your application. A “hold” status is a normal step in the MASON transcript process and does not indicate a financial hold on your record.
  • The MASON Office of Admissions receives all Parchment transcripts. All academic advisors at Mason have access to your NOVA transcript. Do not send transcripts to any office other than the Office of Admissions.
  • The Virginia Department of Education (VDOE) does not accept electronic transcripts. Hard copy paper official transcript requests are processed via the Parchment eService at a cost of $15.00. Request to have a sealed official transcript from the college sent to you and include that sealed transcript with the application for licensure. Include official transcripts from all colleges and universities attended. Official student transcripts (bearing the registrar’s signature and embossed seal) that have been issued to students are acceptable. Do not have transcripts sent separately to the VDOE. Further information is provided on the VDOE website.

Special Accreditation Status: The Nursing Program at NOVA is approved by the Virginia State Board of Nursing. VBON accept transcripts by mail method and e-Transcript PDF Method.

Parchment - Mailing Method

All paper hard copy transcripts issued are official and in a sealed envelope.
IMPORTANT: Do not open your transcript if you plan to send the transcript to a college or organization. An opened transcript is considered unofficial by most colleges and organizations.

Students can order an Official Transcript (by mail method) to their home address, which will be delivered in a sealed envelope. (DO NOT open your transcript envelope--it will be rendered UNOFFICIAL).

Students can order an Official Transcript (by mail method) and send it directly to Virginia State Board of Nursing, ATTN: Nursing Board, Perimeter Center, 9960 Mayland Drive, Suite 300, Richmond, VA 23233.

RAD TECH
NOVA Radiography Program licensure is approved by the Virginia State Board (VSB)
Official school transcripts must be emailed directly by the school to RadTechMedbd@dhp.virginia.gov.

Sending transcripts by US Postal Service is highly discouraged by VSB.

Parchment - Third Party (e-Transcript PDF) Method.
A TPO must include the Recipient Name: Enter the Applicant’s Name and Email Address: transcriptbyexam@dhp.virginia.gov

Per the RAD Tech department directions at Virginia Board of Medicine:

"Official school transcripts must be emailed directly by the school to RadTechMedbd@dhp.virginia.gov. Sending transcripts by US Postal Service is highly discouraged."

  • NOVA is not responsible for any materials lost in the mail or delays caused by the US Postal Service.
  • Students must include the CASPA Transcript Request Form with all orders. Attachment is available through Parchment.

Sending Transcripts Electronically

  • Please note that electronic transcripts are not the same as emailed transcripts. CASPA does not accept transcripts sent via email.
  • CASPA only accepts electronic transcripts from Parchment.

Students must include CASPA Transcript Request Form or you should include your full CASPA ID number when entering the CASPA mailing address.

*Do not send your transcript to the CASPA customer service email.

It is not uncommon for students to be told that their transcript has not arrived at their senior institution even though the CRO has mailed the transcript. Schools routinely take up to 30 days to process and post transfer credits. Please allow colleges and universities ample processing time before contacting AsktheCRO@nvcc.edu regarding your official transcript request.
