Policies & Procedures

All work-study students must submit the Work-Study Agreement form to their campus work-study coordinator once their supervisor completes Section B of this form. Students who have not participated in the work-study program within the last 12 months will also need to submit a completed employment packet to their campus work-study coordinator.

A student employee is anyone employed by NOVA whose primary purpose for being at the College is to obtain an education. Any individual employed in a temporary position who is also enrolled at least part-time is presumed to be primarily a student and will be considered a student employee, unless facts clearly indicate otherwise. Student employee status is not affected during periods of typical non-enrollment, such as breaks between consecutive terms or during the Spring/Summer term, regardless of hours worked.

You must meet all eligibility requirements for federal student financial aid and demonstrate financial need to be considered for work-study.

Complete the online Federal Application for Student Financial Aid (FAFSA).

If you qualify for work-study, you will receive a Financial Aid Award notification letter. Your eligibility for Federal Work-Study (FWS) is determined by the Financial Aid Office based upon your financial need.

Your financial need is the difference between the Cost of Attendance and the Family Contribution (the amount the student and/or family is expected to contribute towards his/her education). You cannot earn more than your award allotment.

After you receive your notification letter, check out the FWS Job Opportunities and contact the Work-Study Placement Coordinator at your home campus. This individual will work with you to find a position that meets your interest and scheduling needs. You can work after you complete the Work-Study Approval Form [125-175] and all payroll forms to establish your eligibility to work.

After you accept a position, you must report to work regularly and on time. Call your supervisor directly if you cannot report to work. If you do not report to work, call your supervisor, or satisfactorily fulfill the requirements of your position, you may be dismissed. Personal calls and meals should be scheduled before or after work hours. You should dress appropriately for the job.

Your work-study job may expose you to college and student records. Confidentiality must be maintained. Breaches of confidentiality and/or any act of dishonesty may result in your dismissal from the program.

Time sheets must be completed every two weeks and submitted to the Payroll Office by your supervisor before the deadline. Contact your supervisor for these dates and times. Your signature constitutes a statement of work performed.

All employees must participate in direct deposit/electronic fund transfer as a condition of employment. Therefore, you must have a savings or checking account to get paid by direct deposit. If you don't have an account, you can get a free checking account through Apple Federal Credit Union.

You will not work when the College is officially closed. Your supervisor must approve any exceptions to this policy and initial your time sheet.
