Important Notice

The College Records Office works remotely to ensure all graduation applications are processed. Please check your VCCS email account and Message Center for the status of your application for graduation as well as other important information regarding graduation.

Your diploma or certificate will be mailed within three months after the last day of the semester to the address listed in your student record. You will receive only one diploma for each degree or certificate you earn. The College will reissue diplomas at no cost in cases of natural disaster (such as fire or tornado), printing error or name changes resulting from gender reassignment.

Due to COVID-19, the spring commencement has been cancelled, the impact of COVID-19 has not deterred the CRO from processing applications for graduation. NOVA’s and the CRO’s culture of care ensures you will receive graduation status messages via your VCCS email account and your Message Center in SIS. The College Records Office is diligently working to provide communication to the 4,285 spring applicants as quickly as possible.

Diplomas will be mailed directly from the vendor to the address extracted directly from your permanent record. If you discover an error, please e-mail AsktheCRO@nvcc.edu to make corrections to your record.

Do you have an official transcript in a sealed envelope? Were you planning on hand carrying it to the NOVA campus before the school shifted to remote student services?

Due to the current COVID-19 climate of uncertainty and NOVA’s culture of care, the College has shifted to remote services

The best method is to send your official transcript electronically to NOVA. 

The College Records Office will temporarily accept students’ transcripts that were previously received by the postal service. Keep in mind opening the sealed envelope compromises the integrity of the record and renders it unofficialFollow these instructions:

  • Make a copy of the front and back of the envelope before opening it.
  • Include your NOVA student ID on all pages of the transcript.
  • Include a picture ID.
  • Send attached documents directly to AsktheCRO@nvcc.edu 

Students who submit unofficial transcripts for evaluation will be required to provide an official transcript to NOVA as soon as possible. If you purchased the order within the last thirty (30) days, the transcript servicer may re-send the transcript electronically if requested.

Students who elect to send official transcripts via the National Student Clearinghouse, Naviance, Parchment, eSCRIPE-Safe, Credentials Solutions, or by electronic secure/encrypted PDF format delivered "directly" from their college/institution to AsktheCRO@nvcc.edu.

*A printed PDF sent "directly" from a student’s email account cannot be accepted and will be considered unofficial.

Yes. NOVA partnered with Parchment to provide online ordering and electronic delivery. Please visit Transcripts.

Students should continue to use our online transcript ordering system through the Parchment eService Storefront. 

Please keep in mind that mailing orders to certain countries may take longer than expected due to airline travel restrictions. Also, keep in mind before mailing your transcript to other U.S. colleges/universities or businesses that they may be closed or working remotely. 

The quickest delivery option is Electronic PDF or Electronic Exchange. Check with your recipient before completing your order to confirm if they will accept your transcript electronically. The PDF transcript should be sent directly to the recipient's email address. If you email the transcript to yourself and forward it, the transcript will no longer be considered "official".

Yes. Parchment ordering system allows students to attach required documents.
Plans are being made to ensure every graduate receives a diploma cover for every program the graduate has completed. Students should check their myNOVA e-mail regularly, as well as the COVID-19 website link for updates.
Yes, transfer credits will continue to be evaluated and posted to student records.

We understand many students are facing significant challenges as a result of school closures. The best method is to send your official transcript electronically to NOVA.
Yes, Students who elect to send official transcripts via the National Student Clearinghouse, Naviance, Parchment, eSCRIPE-Safe, Credentials Solutions, or directly from their institution can direct their transcripts to AsktheCRO@nvcc.edu.
Six to Eight weeks. Please be advised there may be delays or disruptions in processing transcript requests due NOVA implementing remote work during the Coronavirus (COVID-19) outbreak.

Typical processing time is 6-8 weeks from the time the College Records Office receives your documents into our system.

During this period of remote learning and COVID-19, the Transfer Credit Evaluation processing time and evaluations have increased to 12 weeks.

NOVA is committed to ensuring that you receive the highest level of support during this time as we continue to work as fast as possible to meet the high demands of evaluating incoming documents, transcripts, and test scores.

Do you have an official "Test Score"? Did you send it by postal service before the school shifted to remote student services? 

Please be advised below.

The best method is to send your test scores electronically to NOVA.

The College Records Office will temporarily accept students “test scores” (CLEP, SAT, ACT, AP, IB) that were previously mailed by the postal service. *Keep in mind opening the sealed envelope compromises the integrity of the scores and renders it unofficial.  Follow these instructions:

  • If possible, make a copy of the front and back of the envelope before opening it.
  • Include your NOVA student ID on all pages of the test documents.
  • Include a picture ID.
  • Include copy of the test score payment receipt.
  • Before sending your documents make sure the documents are legible and submit all documents to AsktheCRO@nvcc.edu

Students can elect to send official transcripts to NOVA via the National Student Clearinghouse, Naviance, Parchment, eSCRIPE-Safe, Credentials Solutions, or by electronic secure/encrypted PDF format delivered "directly" from their college/institution to AsktheCRO@nvcc.edu.
