Payment Methods

You must pay for Continuing Education courses when you register. Payment may be made with a credit card (MasterCard, VISA, or American Express) when using the shopping cart at our website or over the phone. You may pay with cash or check at the Loudoun Campus Business Office (LR241). Regular Business Office hours are 9:00 a.m. – 4:30 p.m. There is a drop box if you wish to leave a payment after hours. You can also bring payment to the Office of Workforce Development (LR268) between 4:30 – 7:00 p.m. on Mondays, Wednesdays, and Fridays.

We advise you to register and pay for your course as soon as possible to avoid the disappointment of a closed or cancelled class. Registration is on a first-come, first-served basis and remains open until the class fills. Students are not allowed to audit classes for which they have not paid.  

Third Party Payment

If a student's tuition is to be paid by a third party (employer, government agency, foreign embassy, etc.), the agency or student must mail or fax a Letter of Authorization or Purchase Order from the third party, with the understanding that the student accepts responsibility for full payment if the third party does not. Payments must be made in full by one party (two or more parties cannot split payment for a class).  A student may not register using one form of payment and then switch to third party payment for that class at a later date.

Refunds and Cancelled Classes

Students must provide four (4) business days notice prior to the first class meeting in order to receive a refund for a class. Students must notify the Workforce Development office in writing to cancel a class. Please fax notification to 703.421.4121 or e-mail it to ssan@nvcc.edu. If your class is cancelled by the college, a full refund will be issued.  A decision on class cancellation is made the day before the class is scheduled to begin. 

All refunds are issued as checks from the state of Virginia. Refunds take approximately 2-3 weeks to be processed. Refund checks will be made payable to the student, regardless of who paid for a course. This is college policy and no exceptions can be made. Some classes required a longer notification period to be eligible for a refund. The Motorcycle Program, Certified Nurse Aide, and summer youth programs require two-week notification to receive a refund. Cancellations for motorcycle classes can be faxed to 703.421.4121 or e-mailed to cwynn@nvcc.edu. To cancel an ESL course, refer to the ESL website (www.nvcc.edu/wdce/loudoun/esl) for the date that notification is required.
