Page 3-2: 3.1315 Taking Roll
Faculty members must take roll in every class for the first three two weeks of the standard session (through the Last Day to Drop with Tuition Refund, known as the census date) one week beyond the schedule adjustments with tuition refund period) and retain these rolls for a period of four years for audit purposes. For shorter sessions that fall within the standard-length session, faculty must take roll in every class session for one week beyond the schedule adjustments with tuition refund the equivalent period. At the beginning of the 4th 3rd week of the standard 16-week term, faculty must withdraw all students who have not yet attended. (For shorter sessions, adjust withdrawal period.) To further determine students who have never attended, faculty will use the PeopleSoft NovaConnect online class roster. after the census date (beginning of third week). Faculty will use NVCC 125-31, Administrative Withdrawal Form, to report students as administratively withdrawn and never attended. The 125-31 form will be submitted to the Division Office for processing.
Full-time faculty will keep their own class roll records for four years. Adjunct faculty members will submit their class rolls when they submit their grades. Division offices will be responsible for storing the class rolls.
From the beginning of the semester faculty must also check the class rosters to make sure that students who have been attending classes are officially enrolled in the course. At the end of the second week, students who are not listed on the official class roster must be directed to the registrar. Students will not be allowed to attend class again until they produce official registration documentation.
For students identified as veterans ("V") on the class roster but who have ceased attending class, faculty will report the veteran's withdrawal date as soon as they become aware of it, using the 125-31 form and submitting it to the division office.

4.3010 Accommodations for Religious Observances
Northern Virginia Community College recognizes the rich and diverse religious backgrounds of its students and is committed to providing them access to education without undue hardship. Since religious observances do not always conform to academic holidays, fair, reasonable, and appropriate accommodations to students wishing to observe religious holidays are encouraged, provided that students notify their instructors well in advance of schedule conflicts. A list of commonly observed religious holidays may be found at the following link: http://www.nvcc.edu/calendars/holidays.htm.
When tests or exams fall on religious holidays, students should contact their instructors as soon as possible. Students, of course, are responsible for all work missed. Faculty, on the other hand, are encouraged to be sensitive to the religious practices of their students and to provide appropriate alternatives to those students whenever it is academically feasible to do so.
