Registration Information

If you have never taken any type of class at Northern Virginia Community College (or any other college within the Virginia Community College System), you must first complete the VCCS Application for Admission.  Once you have submitted an application you will receive an EMPLID number; this is used as your student ID number and you will use this number to register for classes and for all future transactions.  You may fill out the application online at http://www.nvcc.edu or you can complete a paper copy of the application form and submit it to the Continuing Education office by mail or in person.  You must obtain an EMPLID before registering for any Continuing Education class.

Phone:  703 450-2551  Continuing Education staff can accept registration requests, Monday, Wednesday, and Friday, 8:30 a.m. – 7:00 p.m. and Tuesday and Thursday, 8:30 a.m. – 5:00 p.m.

Walk-In:  You may register in person at the Office of Continuing Education (LR 268), Monday, Wednesday, and Friday, 8:30 a.m. – 7:00 p.m. and Tuesday and Thursday, 8:30 a.m. – 5:00 p.m.

Fax:  703 450-2669  You may FAX a completed Registration Form along with payment information to the Continuing Education office.

Mail:  Northern Virginia Community College, 1000 Harry Byrd Highway, Sterling, VA 20164  Mail a completed Registration Form, and if necessary, a completed Application for Admission.

Payment  Information:
You must pay for Continuing Education courses when you register.  Payment may be made with a credit card (MasterCard, VISA, or American Express) when using the shopping cart at our website or over the phone.  You may pay with cash or check at the Loudoun Campus Business Office (LR241).  Regular Business Office hours are 9:00 a.m. – 4:30 p.m.  There is a drop box if you wish to leave a payment after hours.  You can also bring payment to the Office of Continuing Education (LR268) between 4:30 – 7:00 p.m. on Mondays, Wednesdays, and Fridays.

We advise you to register and pay for your course as soon as possible to avoid the disappointment of a closed or cancelled class.  Registration is on a first-come, first-served basis and remains open until the class fills.  Students are not allowed to audit classes for which they have not paid.

Third Party Payment
 If a student's tuition is to be paid by a third party (employer, government agency, foreign embassy, etc.), the agency or student must mail or fax a Letter of Authorization or Purchase Order from the third party, with the understanding that the student accepts responsibility for full payment if the third party does not. Payments must be made in full by one party (two or more parties cannot split payment for a class).  A student may not register using one form of payment and then switch to third party payment for that class at a later date.

Refunds and Cancelled Classes
Students must provide four (4) business days notice prior to the first class meeting in order to receive a refund for a class.  Students must notify the Continuing Education office in writing to cancel a class.  Please fax notification to 703 450-2669 or e-mail it to ssan@nvcc.edu. If your class is cancelled by the college, a full refund will be issued.  A decision on class cancellation is made the day before the class is scheduled to begin.  All refunds are issued as checks from the state of Virginia.  Refunds take approximately 2-3 weeks to be processed.  Refund checks will be made payable to the student, regardless of who paid for a course.  This is college policy and no exceptions can be made.  Some classes required a longer notification period to be eligible for a refund.  The Motorcycle Program, Certified Nurse Aide, and summer youth programs require two-week notification to receive a refund.  Cancellations for motorcycle classes can be faxed to 703 450-2669 or e-mailed to cwynn@nvcc.edu.  To cancel an ESL course, refer to the ESL website (www.nvcc.edu/continuing/education) for the date that notification is required.

Need to Look Up Your EMPLID?

If you have taken a class at NOVA before but you do not know your EMPLID, you can look it up at our website.  https://nvcc.my.vccs.edu/jsp/home.jsp Choose the New to the college? option to look up your EMPLID.  If you need assistance, call the Office of Continuing Education at 703 450-2551.

If it has been more than three years since you have taken classes at NOVA, you will need to submit a new application to update your records before attempting to register.

Continuing Education Units (CEUs)Continuing Education Units (CEUs) are awarded for non-credit professional courses.  CEUs are a nationally recognized standard unit of measurement that has been adopted for post-secondary courses not carrying academic credit.  To receive CEUs and a certificate of completion, participants must attend 95% of a course.  One CEU is awarded for every 10 hours of instruction.

Senior Citizen Registration
Virginia residents 60 years of age and older can enroll in a Continuing Education class free of charge on a space-available basis as determined by the College.  Such students are limited to three courses per semester including any credit course(s) that they may be auditing. Senior Citizens must come in person to campus and apply to the college, present proof of age and fill out a Senior Citizen Certification of Eligibility for Free Tuition form, which may be obtained from the Office of Continuing Education.  Once the necessary paperwork has been filled out, the applicant must call to determine if space is available.  For classes that begin in the morning, students must call after 2:00 p.m. the day prior to the class; for evening classes, students must call after 2:00 p.m. the day of the class.  In courses with limited space and large demand, the order in which telephone calls are received on that day determines admission to the course. An individual applying for senior citizen status is not enrolled until verification is made through Continuing Education.  To guarantee a place in a class, payment is required. A student who has already made payment for a particular course may not reverse that registration to free tuition at a later time.

Parking Continuing Education students attending a class at the Loudoun Campus must either purchase a semester parking permit or a hangtag prior to class or use a parking meter.  Parking permits can be purchased from the Parking Services Office, located in LR 241. Parking Services is open Mon. – Thurs., 8:30 a.m. – 7:30 p.m. and Friday, 8:30 a.m. – 5:00 p.m. A semester parking permit is $75.  Hangtags can also be purchased for individual classes and are $6/day.  A semester parking permit or hangtag allows you to park in the "B" (student) parking lots. Semester parking permits or hangtags must be clearly displayed.  Tickets will be issued to cars that do not have an appropriate permit displayed or to cars that are not parked in a designated student lot.  Parking in a handicapped-designated space without a valid handicapped permit will result in a $150 fine.  If you have any questions, please call Parking Services at 703 450-2523. Students who have classes located at the Reston locations will not need permits.

Classroom Assignment Information
To locate the building and room number of your class, please check the board outside room 268 in the LR building or call the office at 703 450-2551. Room numbers for classes held at the Loudoun Campus will be posted the day of the class. For classes held at Reston 2, classrooms will be posted in the Administration Office (room 329).

Accommodations for Persons with Disabilities
NVCC is committed to providing an accessible education and a supportive learning environment for all students, including persons with documented disabilities.  If you require any special services or accommodations, you must contact the NVCC Counselor for Students with Disabilities at the campus at least four weeks prior to the start of the class.  To qualify for these services, you must provide clear and specific evidence that a qualified professional has established a formal diagnosis of a disability.  Except in certain cases, the documentation can be no older than three (3) years.  All information obtained in the diagnostic and medical reports will be maintained and used in accordance with applicable confidentiality requirements.

Contract Classes

Weather Policy
If the College is closed for credit courses, all non-credit courses at the College are cancelled and a make-up date will be announced.  If a non-credit course is held off-campus, listen for the announcement on local radio and television stations for that closing.  College closings for classes meeting after 5:00 p.m. will be made by 3:30 p.m.  Information on delays and cancellations will be posted at the College website http://www.nvcc.edu.
