Applications for Vacant Positions in Outlook Public Folders

Hiring managers can electronically access the applicant pool for their job vacancies. Hiring managers can also request that their screening/selection committee members have access to the electronic applicant pool as well.

For faculty positions, it is asked that the appropriate Academic Dean send an email (referencing the particular position) detailing the members of the committee. Ensure that the committee composition meets the requirements specified in the Faculty Hiring Procedures. Send the email thru the Campus Provost and to the HR Director. The HR Director will review the committee composition to ensure it meets Affirmative Action guidelines. The HR Director will notify the Dean and Campus Provost of the acceptance of the proposed committee composition or of any considerations.

As HR receives and processes application they are added to Public Folders in Outlook and accessible 24/7 via the Internet to only approved committee members/hiring managers. Updated daily for as long as the position is open, hiring managers need to review the job vacancy folder to determine if enough qualified applicants have applied and to begin screening their applicant pool. If the vacancy announcement has a closing date, please continue to review the applicant pool for as much a one week beyond that date to insure all timely received applications have been processed by HR and placed in the folder.

Access Your Applications:

If you have an open position and are the hiring manager or designated/approved member of a screening committee, you can access applications in Outlook. Using your mouse, click as you go from step to step to: Public Folders, All Public Folders, HR Hiring Information, Classified Positions (which includes P-14s) or Faculty Positions, and then scroll down to the position # {position ###}.

For faculty positions, refer to faculty hiring procedures and other documents on the HR website at www.nvcc.edu/hr under the link on the left for Recruitment Procedures.

Screening Committee Access to Applicant Pool:

List names of committee members on the Notice of Vacancy (NOV). The hiring manager can request access for individuals after an NOV has been submitted and after a position is posted to the Public Folder by contacting a member of the Employment Team in HR.

Create a Sub-folder:

Hiring managers for classified or P-14 positions may desire having a sub-folder within the electronic position folders for non-qualified applicants. This could be a good repository for unqualified applications and it will reduce the number of applications committee members will need to review when minimum qualifications criteria have not been met by the applicant. This is done for all faculty positions. The hiring manager can request the creation of a Not Qualified Applicant sub-folder for a position by contacting a member of the Employment Team in HR.
