Acquiring New AV/PC Software

MPS purchases, receives, and maintains a license and registration file for all college-owned microcomputer and audiovisual software. Send all requests to purchase microcomputer software to MPS. Send all requests to preview or purchase audiovisual software to MPS. Send requests to review click-on licenses for free software to Nancy Stafford. Do not charge microcomputer software to your department's American Express card. Call Nancy Stafford at 703-323-3294 if you have questions.

Free Software - BE CAREFUL!
Even free software may have license agreements which contain legal language which the College cannot agree to. Usually these are click-on agreements that require you to click Yes or No before you download the software. You are not authorized to click "YES" on a click-on agreement for software you are downloading to a college machine unless Nancy Stafford has reviewed the agreement and said it is acceptable.

 

To Purchase Microcomputer Software:

  • Type purchase request on form 105-25.
    • Include as much information as possible including type of computer the software will run on, size of disks, upgrade, site license for laboratory, etc.
    • If you are buying additional December 2, 2004type ADDITIONAL COPY on purchase request. Otherwise the request will be rejected as a duplicate.
    • Send purchase requests for microcomputer software to Media Processing Services.
  • Media Processing Services
    • Eliminates duplicate purchases (of software already owned) unless requestor types something like "purchasing additional copies" on 105-25. To view a list of College owned software go here.
    • Orders, receives and ships software and copies of registrations and licenses to the requestor.
    • Maintains a College microcomputer software inventory list.
    • Notifies departments when software they own has been upgraded.

To Purchase Audiovisual Software: Videocassettes, CDs, etc.

  • Type purchase request on form 105-25.
  • Send request directly to Media Processing Services, AN for quickest service. If you send request to Purchasing, they will forward request to MPS.

To Preview Audiovisual Software: Videocassettes, CDs, etc.

  • Type preview request on form 105-25.
  • Send request to Media Processing Services.
    • No Charge Preview. Type on form NO CHARGE PREVIEW and length of preview period.
    • Preview Fee. Type something like: Fee to preview software for 10 days - $8.
    • Purchase Preview Disk. Type that statement. If you later decide to purchase the entire software package, type a new request. This is not really a preview. This is a purchase.
  • MPS orders and receives preview software.
  • MPS sends to requestor:
    • Instruction/Routing sheet which includes date MPS must have preview software back in hand if software is to be returned to vendor.
    • The software.
  • Requestor tries software and makes decision.
    • Send software back:
      • Return software to MPS on time - MPS returns software.
      • If you return software late, MPS may have to accept the software on your behalf and pay the invoice with funds from your account.
    • Keep software:
      • Check "Keep" option on routing slip.
      • Return software and routing slip to MPS. MPS has to sign a receiving report to pay the invoice, and MPS must have the material in hand to sign the report.
      • MPS pays invoice and returns software to department.
