Background

All VCCS colleges are to participate in the implementation of the PeopleSoft Finance System and HR Systems over the next two years.  Implementation of the Finance System is scheduled for July 1, 2007.  A specific implementation date for the HR System has not been set, but is expected to be sometime during 2007-2008.  These two new systems will replace FRS and our current HR system.  They will be the current versions of the PeopleSoft software, so there should not have to be an upgrade again for 4-5 years.  Unlike the PeopleSoft Student Information System, the entire VCCS will implement the Finance System at the same time, and the initial set-up will be significantly more consistent across all the colleges.  Details on the HR system implementation have not been finalized, but it is likely to be implemented on a college-by-college basis.

Building on the experience NOVA had with the implementation of the PeopleSoft Student Information System and the following conversion from PeopleSoft Version 7.6 to Version 8.2, it is time to proceed with college planning for the implementation of our PeopleSoft finance and HR systems.  Our goal is to maintain and enhance the provision of information, services, and transactional capabilities to our faculty, staff and students.  Our plans for the implementation of these two systems will be guided by a Steering Committee composed of: administrative leadership from each of the major stakeholder groups together with the NOVAConnect Support Services (NCSS) management team (ex officio).  The members of the Steering Committee will organize workgroups from their functional areas to carry out the multiple tasks involved with familiarization, testing, and problem-solving; training; and follow-through during the implementation process (see below).

Staff from NOVAConnect Support Services will be available to provide technical assistance as needed, recognizing they must also continue to provide support for the current Student Information System and the many students, faculty, and staff comprising its user base; plus make the necessary set-up changes and conversions required by SIS upgrade to Version 8.9. Consequently, the workgroups are responsible for completing all tasks associated with the project for their functional areas.

The work of the Steering Committee will begin in June and continue through the implementation of the HR system to guide the implementation process and provide post-implementation recommendations about on-going issues that need resolution.  The AIS system is scheduled for implementation on July 1, 2007.
The Steering Committee is responsible to the President.
