NOVA IT User Access Account Policy
Northern Virginia Community College (NOVA) provides user accounts for all faculty, staff, adjuncts and part time employees of the college. Accounts issued to users are for college use only and will be audited for misuse.
Access to network resources (i.e., email, mainframe, file shares, etc.) will be granted after proper paperwork has been submitted and approved. Each user will be issued his/her own account to access network resources. User accounts shall not be shared. Users will be responsible for maintaining a strong password on their account to prevent possible misuse of their account.
Account Creation
All users requesting an account on the NOVA network, MUST submit form "NOVA 105-45, Computer Access Request Form" prior to receiving their account. This includes, but is not limited to; Faculty, Staff, Adjuncts and Part Time Employees. No account will be created until the 105-45 has been approved and submitted to IT Security.
- The 105-45 must be filled out completely and signed by the new users supervisor and Campus Dean, Chairman or Coordinator.
- 105-45's may be faxed to Technical Support Services (ITSS) after obtaining signatures, but original must be submitted in regular mail.
Account Deletion
IT Security will be notified by Human Resources (HR) at the end of each month, with a list of users that have left the college in the past month. If IT Security has not received this list by the 1st of the month, a reminder email will be sent to HR requesting this information. After the completion of each semester, the Payroll Department will provide a list of the most current employees on the payroll, including full and part time faculty and staff.
- User accounts whose names are on the list provided by Human Resources, will be disabled for 30 days prior to deleting the lan, email and web accounts.
- User accounts whose name are not on the most current payroll, will be disabled for 30 days prior to deleting the lan, email and web accounts.
- CICS mainframe accounts will be deleted immediately.
Account Maintenance
Routine account maintenance will be performed to remove disabled accounts and accounts that have not been used in the past year.
- Every three months -- January, April, July and October, a list of Windows NT user accounts will be generated. Accounts older than one year will be disabled for a period of 30 days prior to deleting.
- Twice a year on January 31 and June 31, a complete review of accounts will be conducted. A request will be sent to Richmond for a report that lists users which have access to mainframe databases. (FRS, TSO, NOTIS, FOCUS, ALEX, ALICE, CARS, CIPPS, DMV, STARS, and PMIS). These reports will be compared to the current list of Windows NT accounts. Paperwork will then be submitted to Richmond to have old user access removed from the appropriate database.
- The mainframe automatically revokes access if the account has not been accessed in 3 months.
Account Updates (title, department, campus)
All users transferring their title, department, and/or campus MUST submit form "NVCC 105-45, Computer Access Request Form" to retain their accounts. This includes, but is not limited to; Faculty, Staff, Adjuncts and Part Time Employees. Failure to submit the required paperwork may result in the account(s) being disabled or deleted. Due to auditing requirements the updated and approved form must be received in our office.
- The 105-45 must be filled out completely and signed by the user's new supervisor and Campus Dean, Chairman or Coordinator.

Account Updates (name)
All users requesting name changes MUST first complete their name change with Human Resources (check with HR for their current policy/requirements for name changes). After completing name change with HR, please submit form "NOVA 105-45, Computer Access Request Form" to update your NOVA accounts. This includes, but is not limited to; Faculty, Staff, Adjuncts and Part Time Employees.
- The 105-45 must be filled out completely and signed by the user's new supervisor and Campus Dean, Chairman or Coordinator. .
